Executive Director’s Report:  June, 2008

  • ·       Annual meeting: Received Annual Reports from Chairs, plus Executive Director’s, formatted for handout, and printed; produced county member sign-in sheets; made new Supporter member display board with 2008 members; made & framed four recognition certificates;

  • ·       Tax listings for Halifax and Northampton counties were completed i.e. duplicate addresses removed as well as current LGA members, a label document was produced for each county, accompanying letter and enclosure were emailed to C-Line Graphics on 6/23 for printing, stuffing; mailing occurred on 6/30/08.

  • ·       Sent refund checks to Ferncliff homeowners who were either already LGA members for 2008, or who had overpaid twice (2) – this occurred when Ferncliff came in as a HOA in March.

  • ·       Processed/reconciled West Winds HOA renewal check for 2008.

  • ·       Processed email changes from sign-up sheets from Annual meeting.

  • ·       Prepared for mailing letter requesting Private Treatment information (generated by Lake Environment Committee), & mailed to Dominion, Skip’s Aquatic Solutions, Professional Lake Management, NaturChem, and copied Dr. Brown, Lake Gaston Weed Control Council.

  • ·       Producing a “sales call” binder as an aid for calls to businesses for our 2009 membership drive. Will be working with Membership Committee to ensure its workable and meets their needs.

  • ·       Produced additional Realtor packets to encourage Realtors to give Complimentary General Memberships for 2008.

  • ·       Drafted a yearly LGA organizational timeline to facilitate milestones throughout the year.

  • ·       Submitted to Lake Gaston Area Directory OnLine! LGA’s updated page in the directory.

  • ·       Committee minutes as available were sent to website for posting. 2008 Lake Gaston Association’s Recommended Management Plan was sent for posting on website.

  • ·       Eight new members and 40 renewals during June.

  • ·       Produced new email listings for total membership and each county from May’s database update.

Executive Director’s Report:  May, 2008

  • Set schedule for June/July Bulletin with C-Line, advised membership chairs, coordinated/proofed articles and sent to officers for review. Sent finalized copy to C-Line Graphics for layout and printing along with 450 mailing labels from the latest database numbers as at 5/23/08, for those members requesting their Bulletin by US mail.

  • Sent annual meeting agenda with slate of directors to C-Line with 274 labels to be mailed to members without email. Coordinating annual written reports from chairs, and administrivia for June 14 mtg.

  • Have been using Duplicate Remover for MicroSoft Excel to remove duplicate listings with the same address from the tax listings of Halifax, Northampton and Warren County listings. Also, cross checking to remove LGA members from those listings. Letters are scheduled to commence mailing in June. Brunswick and Mecklenburg listings should be available soon.

  • Committee minutes as available were sent to website for posting. Updating Government page is underway; Lake Environment page now shows combination with Aquatic Weeds; Supporting page now shows only 2008 members; New section ‘LGA Accomplishments’ on homepage/left column shows accomplishments for 2007, 2006 and 2005 and before years.

  • 1 renewal check was received during May. Sent 16 welcome letters to new members coming in from FernCliffe HOA

  • Produced new email listings for total membership and each county from April’s database update.

Executive Director’s Report:  April, 2008

·     Liaised with Littleton Community Center with set up requirements for April 5 and April 12 Halifax and Warren County Candidate forums. Followed up with telephone calls to those candidates who had not responded. Provided list of candidates as handouts for the public for each forum, as well as tents for each candidate, name badges for directors, 3x5 cards, pencils, pads etc., and information for a membership table. Sent additional PSA advertising April 12 forum.

·       19 renewal checks were received during April. Sent four welcome letters to new members.

·       Kept membership committee informed of renewals by county to cross of county telephone lists for those members who had not renewed for 2008

·       Made contact with the five lake county tax administrators for tax listings of Lake Gaston Property. Obtained Warren County and Halifax County and applied for Northampton County. Brunswick & Mecklenburg listings won’t be available until at least May. Goal is to remove duplicates, compare to our relevant county membership list, remove LGA members from tax list and resultant tax listings will be used for a membership drive. Ordered Excel Remove Duplicates software and installed

·       Sent notes in Bulletins to those members whose email address was rejected who would not have received their April/May Bulletin via email. And, telephoned those who had received their Bulletins by US mail, whose email had been rejected, to ascertain new email addresses.

·       Changed database queries to drop 2007 members who did not renew, made new master CD and gave to B&B. Made new email lists for members in good standing only.

·       Committee minutes as available were sent to website for posting. Sent information for an Accomplishment section showing 2007, 2006 and prior history, 2008 will be sent in May.

·       Produced new email listings for total membership and each county from March’s database update.

IN SUMMARY:  Key this month: Providing materials and location set up for the Halifax and Warren Candidate Forums. Database query changes to drop 2007 members who have not renewed for this year. Obtaining county tax listings for Lake Gaston property. And, contacting about 30 members whose email addresses were being rejected who only hear from us via email for their new email addresses.

Executive Director’s Report:  March, 2008

  • Provided candidate names to Larry Jolly, Gov. Relations Chair, so he could make initial telephone invite, then I followed up with letters to the 24 candidates inviting them to the Halifax & Warren County “Meet the Candidate Forums” to be held on April 5 (Halifax)  and April 12 (Warren) at the Littleton Community Center. Followed up with telephone calls to those who had not RSVPd. Liaised with the Center on room requirements and set up. Sent PSAs to local newspapers and radios covering Halifax & Warren Counties advertising both candidate forums, and sent a PSA for just April 5 for April 2 newspapers.

  • 45 renewal checks were received during March.

  • Sent welcome letters to new members.

  • Submitted LGA’s letter to Businesses soliciting membership to Lake Gaston Chamber of Commerce Board of Director’s for approval for insertion in their March Newsletter. LGA received approval, sent letter to C-Line Graphics for printing 385 copies for the insertion.

  • Showed David Duxbury how Membership Database worked

  • Produced lists of members by county whose membership expired 12/31/07 so Membership committee members could call them to see why they had not renewed for 2008.

  • Set schedule for April/May Bulletin with C-Line, advised membership chairs, coordinated/proofed and articles and sent to officers for review. Sent finalized copy to C-Line Graphics for printing along with  549 mailing labels from the latest database numbers as at 3/25/08.

  • Sent updated membership status to West Winds HOA treasurer.

  • Processed new HOA Ferncliff’s membership check – we gained 16 new members, three welcome backs, and 5 renewals.

  • Produced comparative membership numbers as at 10/31 for 2004,2005,2006 & 2007 for Membership Committee

  • Located PC projector for use by guest speaker at March 5 monthly meeting

  • Produced Director’s Handbook for Quinton Qualls.

Executive Director’s Report:  February, 2008

 

·        Produced 307 reminder letters and mailing labels from 1/30/08 database status for those members whose membership expired December 31, 2008. Letters were printed and mailed by C-Line Graphics the first week of February.

·        101 renewal checks were received during February.

·        Sent welcome letters to four new members in February.

·        Liaised with C-Line Graphics to produce camera-ready advertisements from information provided by Membership Committee for membership drive via area newspapers. Liaised with Lake Gaston Gazette for four Womack newspapers, The Littleton Observer, and Mecklenburg Sun for insertions for February 27, March 5 and March 12, and Roanoke Rapids Sunday Herald for March 9, 16 and 23. My February 27 column focused on membership drive.

·        Tracked election candidate filings on State Board of Elections website and contacted North Carolina County Board of Election directors after noon on February 29 for candidate filings. Emailed data to Larry Jolly, Government Relations Committee chair for LGA April candidate forums.

·        Updated two-page information sheet called “Examples of how LGA served our members and our lake community during 2007” complete 2007 activities.

·        Updated agent name, registered office and mailing addresses of LGA with NC Secretary of State.

·        Spoke with Mr. Mitchum, Warren County Tax Assessor and obtained Warren Co. revaluation timeline.

·        Final update to Business Letter wording.

Executive Director’s Report:  January, 2008

·       Renewals for 2008 have slowed to 88 received in January. Prepared Reminder letter and received approval from Membership team to send letter first week in February. Database updated to include new addresses obtained for those renewal letters sent in November that had been Returned to Sender and outstanding queries resolved. Prepared three Thank you letters and a new bronze level business member welcome letter & plaque for John’s signature. We had three new members in January.

·       Political contacts in database were checked and updated for all five county Commissioners/Supervisors, and Virginia and North Carolina State Senate and House/Delegates. Information will also be used to update Government page on website beginning of February.

·       Re-contacted those county Board of Election officer that I had to call back in January to ascertain filing and voting schedule for 2008 elections. Gave information to Government Relations committee. Work in progress: candidates that are up for election at state level. Based on information so far, Candidate Forums for NC have been set for April 5 and 12 at Littleton Community Center.

·       Produced February/March Bulletin with input from Committee Chairs, as well as mailing labels from 1/30/08 database cd. PDF version of Bulletin sent to webmaster for posting on website.

·       Silver and Bronze level lists updated on Salute to Supporters page on website.

·       Drafted proposed letter and attachments to encourage businesses to join the LGA at one of our supporting levels which would include link to their website. Approved by Membership Committee but to go out under John’s signature. I am working with Lake Gaston Chamber of Commerce to see if we can send out as an insert in their newsletter. Status will be included in February report.

·       Outstanding December committee minutes were submitted to website during first week of January. And, January committee minutes have been submitted.

·       Produced new email listings for total membership and each county from January’s 1/30/08 database update.

·       Emailed all members: LGWCC 1/17 mtg notice and agenda; 2/6 monthly meeting reminder; February /March 2008 Bulletin on website.

Executive Director’s Report:  December, 2007

·       Have processed approximately 520 renewal checks during December which entails collecting mail the from post office throughout the month; opening; checking for queries and resolving; pulling aside upgrades from general to supporting levels ($50 and above), continuing supporting levels and Lifetimes – then preparing thank you letters for John Cataldo’s signature; and delivering them in batches throughout the month to B&B Accounting for recording into the LGA membership database and depositing checks at the bank. Sixty-one thank you letters were prepared and signed by John. Resolved several Return to Sender letters by researching alternative addresses, or making contacting via email addresses. At month end sent progress chart of 2008 renewals to LGA directors.

·       Received email from Greg Anderson, Water Monitoring Manager of Department of Environmental Quality, VA advising us that Chairman Poindexter of the Virginia Roanoke River Basin Advisory Committee wanted the LGA included on the copy list of their concerns regarding Water Withdrawal and Inter-Basin Transfer Issues with NC. This communication was brought to the attention of John Cataldo. 

·       Contacted each of the five county Board of Election offices to ascertain filing and voting schedule for 2008 elections, but information was not available during December. Am to call back in January. This information is required for Government Relations Committee so they can schedule Candidate Forums.

·       Contacted Lake Gaston Chamber of Commerce, Chamber of Commerce for Warren County and South Hill Chamber of Commerce for their 2008 Calendar of Events but information was not available in December. Government Relations Committee need this information to plan which Festivals to participate in with the LGA booth.

·       December committee minutes will be submitted to website during first week of January.

·       Managed to get most of the Commissioner/Supervisor; Planning, Zoning, and Public Hearing agendas for each county, and sent to membership via county email lists.

·       Executive Director’s monthly column was not aired on WZRU 90.1 and 90.5 FM January 1 at 8:55 a.m. because of New Year’s Day programming, and following Tuesday was too late because content was date related to January 2 meeting.

Executive Director’s Report:  November, 2007

  • Assisted with emailing to copy list, Virginia Department of Environmental Quality’s response to LGA’s letter of concerns about Lakeside Commons LLC application for a permit for a waste water treatment plant on Pea Hill Creek.
  • Received in the US mail at the LGA office a FERC notice that Dominion had applied for a permit for 120 + boat slips for Eaton’s Crossing, comment deadline is December 7. Brought to the attention John Cataldo and Larry Jolly Public Affairs chair
  • Emailed to lake area newspapers John Cataldo’s Letter to the Editor regarding LGAs work on trying to increase law enforcement response time in the Lake Gaston communities and counties.
  • On receipt of 10/30/07 database CD, I ran membership renewal letters against database to produce letters for 2008 renewals. 1,376 renewal letters were produced and sent to C-Linegraphics for printing and mailing along with an accompanying fact sheet during the first week of November. Mailing was completed by the beginning of the second week.
  • Renewals started arriving the end of the second week. I am opening them and pulling the supporting  members ($50 and above) and Lifetime ($250) and sending thank you notes from John Cataldo before sending them for data entry. The majority of renewals are at general membership ($25). 201 had been entered by month end.
  • Sent renewal statements with member names to Laura Woods and West Winds treasurers for renewal checks for 2008.
  • Produced December 2007/January 2008 Bulletin with input from committee chairs, president and myself. Consolidated copy, gave newspaper style titles to articles, sent for review to officers and chairs, and then sent to C-Linegraphics to print along with a document containing 515 labels to mail to members requesting hard copies.
  • Sent pdf version of Bulletin to webmaster for posting on LGA website.
  • Helped set up and man LGA booth on November 17 at Holiday Boat Parade Festival at South Shore Realty. Event was deemed a success by both the organizers and LGA’s participation.
  • Executive Director column and report, sent to website for posting.
  • Produced new email listings for total membership and each county from October’s database update.
  • Managed to get Commissioner/Supervisor; Planning, Zoning, and Public Hearing agendas for each county, and sent to membership via county email lists.

*     Assisted with emailing to copy list, LGA’s letter to Virginia Department of Environmental Quality regarding our concerns about Lakeside Commons LLC permit for a waste water treatment plant on Pea Hill Creek.

*     Mecklenburg Candidate Forum: made follow up calls to candidates who had not RSVPd. Managed to get 10 out of the 12 candidates to attend. Made tents, badges, supplied 3x5s and pencils, and brochures. Contacted the lake papers to remind them to push event and coverage on the day.

*     2008 membership renewals: prepared five letters to be mailed to members – our regular renewal letter, request for information verification for those not expiring; Trial renewals, Realtor renewals and “We’ve Missed You renewals for those who didn’t renew for 2007. Each letter had relevant message and fields awaiting October database update.

*     Sent “Examples of how LGA serves our members and our lake community” to LGA directors for review in readiness to be enclosed in renewal packets.

*     Contacted 32 members via US mail whose email addresses were being rejected letting them know they were missing emails and notification of October/November Bulletin, and to notify us of new email. Included Bulletin if they were email members only.

*     Obtained toll free number for LGA 1-888-586-6577.

*     Wrote database instructions for adding LGAlert contacts into database. Brunswick County contacts have been added.

*     Resent revised Home Owner Association rules to each of the 53 contacts

*     Committee, monthly meeting minutes, Executive Director column and report, sent to website for posting.

*     Produced new email listings for total membership and each county from October’s database update.

Executive Director’s Report:  September, 2007

  • Received articles from committee chairs for October/November Bulletin, edited, sent to officers and chairs for review. Sent copy to C-line Graphics for layout, reviewed proof, requested 700 to be printed, received pdf version for website – sent to webmaster for posting. Pulled 510 addresses from September 27 database (for members requesting hardcopy) into Word Label document and emailed to C-line for labeling newsletters. Remaining hardcopies were picked up for handouts/new members/Chambers.

  •  Produced invite and press release for Mecklenburg Candidate Forum for October 18 at 7:30 p.m. at R.T. Arnold Library in South Hill for review by Mecklenburg directors. Finalized invite was sent out from my office on September 25  to 12 candidates who are running for election this November 6.

  • Have received four out of five responses from email to County Managers/Administrators answering the two questions, “Lake Gaston Association would like to know what percentage of your property tax revenue comes from Lake Gaston property owners in your county, and what percentage of county tax payers have property on Lake Gaston.” Follow up email sent to outstanding response.

  • Helped set up and man LGA booth at Littleton/Lake Gaston Festival on September 1.

  •  Admin support to John Cataldo for LGA’s written position on Brunswick County’s Public Hearing on proposed Sign Ordinance changes on September 19.

  • Made presentation on LGA to Windward Shores Homeowner Association on September 22.

  •  Acknowledged and forwarded emails to LGWCC copying LGA Aquatic Weed, from members reacting to LGWCC 9/27/07 agenda.

  • ·       Researched River Forest’s concerns with Eaton’s Crossing development.

  • ·       Attended training session for “Lake Gaston Mapping Project Fall 2007” conducted by Dr. Rob Richardson from North Carolina State University for LGA’s Lake Environment Monitors to take photographs and observe details of new project.

  • ·       Produced storyboard of training session for Lake Gaston Festival and monthly meetings. Display board will be updated with pictures from actual mapping.

  • ·       Prepared handouts for Festival booth and coordinated secchi disk and bucket for demonstration at booth.

  • Coordinated input for August/September Bulletin; liaised with C-Line; produced mailing label document for mailing copies; sent copy to webmaster for posting; notified email members copy on website.

  • Revised By-Laws with June 9, 2007 changes

  • Made changes to director list as a result of director changes at annual meeting on June 9.

  • Updated LGAlert procedure document

  • Produced and laminated 3x4 size of Focus Items for each director.

  • Completed Who’s Who in five counties and Planning & Development team
